Regulatory training courses - an introduction

Regulatory training courses allow a very precise history of actions performed on the production side: knowing who carried out the action of putting a module into production is necessary to guarantee the training, as well as the reason for this production.

A version validation step is also integrated because only the validated version of a module will be usable for regulatory training. It is a prerequisite before setting your training as regulatory.


Validate a module for a regulatory training course

Open Studio > Module library

To validate the content of a training course, it must first be put into production, in order to test it completely. When the test results are satisfactory, an administrator can sign off on the version.

  1. Search for the module.

  2. Click on the Production tab.

  3. Click on the Validate module button.

  4. Select a supporting file and/or write a comment to justify the validation of this module, which will then be used as part of a so-called regulatory training. These fields are optional by default. The system then records the following information: the author, the date, the supporting file, and the comment of this validation.

Additional Information

In the context of a regulatory session, only the validated version will be usable. This will impact the version selection when the session starts. The version used when starting a session will be the largest version number among the validated versions.

Validation is a prerequisite for defining a training course as regulatory.

In the context of regulatory training, we need to know what each learner has achieved and which version they have worked on. As a result, it is not possible to edit a committed version once the session has begun.

Consequently

  • The option to change the visibility of resources disappears in the context of so-called regulatory training

  • The option to impact current sessions during a production launch disappears in the context of a so-called regulatory training.

Once a version has been validated, the administrator can set the training as regulatory. In the event that the administrator does not set the training in regulation, the versioning system for sessions works with the standard operation – last version taken into account for sessions not started OR if the option Impact current sessions, the new version is taken into account for ALL sessions.

It is at the time of putting the training into regulation that the validation of a module takes on its importance at the level of the versions of the sessions that have not been started. Sessions that have started or ended remain frozen in their versions.


Categorize existing training as regulatory training

Open Administration > Training courses > Course

Procedure

  1. Select the desired search criteria in the search page, and in particular the criterion: Regulatory training (Yes/No). Then click on the Search button.

  2. The list of courses you are looking for will appear on the screen.

  3. Select the desired course from the list, then click the View Training button.

    • The Training tab appears on the screen with the training information.

  4. To make this training compliant, check the corresponding field. This field is a checkbox located on the name of the course.

  5. Save the training form: The system then checks that there is a validated version of the module. If this is not the case, a message instructs the user to validate a version before making it compliant.

Additional Information

To make a training course compliant, a production version must first be validated by an administrator.

Once a training course has been registered as legal, there is no going back. The field will be read-only in the training sheet.

If you want to exclude this training from the regulatory interview process, select Exclude from the 6-year balance sheet check box.


Implement regulatory training

Open Administration > Training > Training sessions

Procedure

  1. Select the desired search criteria in the search page, and in particular the criterion : Regulatory training (Yes/No). Then click on the Search button.

    • The list of courses you are looking for will appear on the screen.

  2. Select the desired course from the list, then click the View Training button.

  3. The Training tab appears on the screen with the training information.

  4. Click on the Production tab. A new window will open making it mandatory to enter a reason for this release in order to keep track of the action.

  5. After entering the reason, the release can be done, which results in the creation of a new version.

  6. The platform then creates a new version visible in the Production tab: all releases are visible in this tab : by clicking on the magnifying glass of each version, a window opens with information on the reason, date and author of the release.


Integrate an electronic signature for a training course

Open Administration > Training > Training course

The purpose of this feature is to verify the identity of the learner who is logged in when they browse the resources of the course they are registered on.

Procedure

  1. Select the desired search criteria in the training course search page, and in particular the criterion : Regulatory training (Yes/No). Then click on the Search button.

    • The list of courses appears on the screen.

  2. Select the desired course from the list, then click the View Course button.

    • The Course tab appears on the screen with all the training course information.

  3. Open the Design tab and click on the page icon (Create a new element) :

  4. Select the element Electronic signature.

  5. Fill in the 2 fields: Name (mandatory) that appears in the module outline, and a Description (text field with the possibility of filling it in with the HTML editor, in order to customise the message displayed to the learner when they sign in).

  6. It is possible to choose a text for this signature from templates using a Use Template button.

  7. Click the button Save.

Additional Information

  • This Electronic Signature element can be inserted into non-regulatory training.

  • An interesting use case is to include a signature at the beginning of the training, and at the end of the training.

  • If you use electronic signatures, it is recommended that you set up the training without the plan or the action bar.

  • This new item type is not an available resource in the asset library.


Manage templates used for electronic signatures in the module 

Open Studio > Signature templates

The text of a signature can be reused elsewhere in another module. To do this, model management has been implemented.

  • Via this menu, you can access a list of existing signature templates (sorting possible on all columns) but also create new templates.

  • A template is simply a name*, a code, a description* and also the language* (* : required field).


Understanding the electronic signature (learner side)

When the learner accesses the electronic signature for the first time, the system asks them to identify themselves. This means that they have to enter their username and password. The description is displayed at the top of the identification fields.

  • It has a Validate button.

  • During validation, the username/password information is verified:

    • If the username/password information is not correct or blank, an alert message is displayed.

    • If the username/password information is correct BUT does not match the user logged in to the platform, an alert message will be displayed.

    • If the username/password information entered is correct, a text is displayed to confirm to the learner that they have identified themselves correctly, as well as the date of signing. The progression of this resource is 100%, and in success. The learner can then continue the training.

As long as the signature is not completed, this step will not be complete. This information will be visible in the follow-up, and in the analyses (resource cube). This prevents the learner from achieving 100% success in their training.
