Teams show the direct relationship between a line manager and his team of colleagues. This information can be found in the “Is manager of” and “Managers” fields of each user's profile. Teams are tree-like groups in which line managers can be responsible for one or more managers, who in turn are responsible for a team of employees. However, line managers are not team members.
Create a team
Procedure
From the side menu, open the Directory.
In the Groups section, select Teams.
Click on New.
Fill in the form information. The following information is mandatory:
Name : Enter the team name.
Manager : Select the team manager by entering their first and last name, or by searching for them using the button.
Once the information has been entered, click on Save.
A confirmation message appears on the screen.
Assign a line manager to an employee
Procedure
From the side menu, open the Directory.
In the Users section, select Users.
Find the user to whom you wish to assign a line manager.
In the Assignments section of the user's file, enter the first and last name of the hierarchical superior you wish to assign in the “Hierarchical” field. You can also search for him/her using the button . .
Once you've made your changes, click on Save.
A confirmation message appears on the screen.
Note
If no team has been created beforehand, it is automatically created when the hierarchical is assigned, with the following information:
The team name takes the form: Team of “assigned hierarchical name”.
The line manager is the assigned line manager.
The list of members is updated each time the line manager is assigned to another member of staff.
View a team record
Procedure
From the side menu, open the Directory.
In the Groups section, select Teams.
The list of teams is displayed in a tree structure on the left of the screen.
Search for the team you wish to view in the tree structure. You can use the Teams search tab and enter the team name.
The team record appears. From here, you can consult the list of team members by clicking on the Members tab.
Modify a team
Procedure
Open the team record you want to modify. For more information, see the section: View a team record.
Modify the necessary information.
Once the changes are complete, click Save.
A confirmation message appears on the screen.
Remove team members
Procedure
Open the team record you want to modify. For more information, see the section: View a team record.
Open the Members tab.
The team member list is displayed.
Select the member(s) you want to remove by checking the boxes to the left of the names.
The Delete button is no longer grayed out.
Click Delete.
A confirmation window appears.
Click OK.
A confirmation message appears on the screen.
The user no longer appears in the list of members.
Note
Removing a team member does not remove them from the platform.
Add a member to a team
Procedure
Open the team record you want to edit. For more information, see the section: View a team record.
Open the Members tab.
The list of team members is displayed.
Click on Add a member.
A search window opens.
Search for the user you want to add.
Click on Search.
A list of users matching your search criteria is displayed.
Select the members you want to add by checking the boxes to the left of the names.
The button Add the users is no longer grayed out.
Click on Add the users.
A confirmation message appears on the screen.
The user now appears in the member list.
Note:
If the group is registered in training when removing a member:
If the training’s closing date has not passed, the removed member will no longer have access to the training.
If the training’s closing date has passed, it will have no impact on the removed member.
Delete a team
Procedure
Open the team record you want to delete. For more information, see the section: View a team record.
Click on Delete.
A confirmation window appears.
Click on OK.
A confirmation message appears on the screen.
The team no longer appears in the list.
The team reference is removed from the Assignments section of the manager's and employees’ records.
