Article summary

The interview templates can be used to design interviews for all employees. Each interview is made up of stages, forms (the section to be completed) and components (the content of the forms).

Create an interview template

Procedure

  1. From the side menu, open the Skills menu.

  2. In the Interviews section, click on Interviews templates.

    If interview templates have already been created, their list is displayed. Otherwise, “No interview template” is displayed.

  3. Click on  New template .

  4. Fill in the form information:

General information:

  • Title — Mandatory text field. Enter the name of the interview in all available languages.

  • Description — Text field. Enter an identifier to cite the interview in other elements of the platform.

  • Code — Text field. Enter an identifier to cite the interview in other elements of the platform.

  • Category — Drop-down list. Select the category in which the interview should appear.

  • Domain — Field filled in by default with the root domain after template creation.

  • Include in overview — Checkbox. Activate to include the interview in the employee overview.

  • Cover image — Upload field active only after template creation. Upload an image to be displayed in the interview header.

Interview launch modes:

  • Gradually by a manager — Checkbox. Enable to authorize a line manager to launch this interview at any time.

  • Gradually by a user — Checkbox. Enable to authorize an employee to launch this interview at any time.

  • Gradually by a human resources manager — Checkbox. Enable to authorize a HR manager to launch this interview at any time.

  • As a campaign — Checkbox.  Activate to trigger the interview during a campaign (See: Interview campaigns).

    These options can be combined.

Export:

  • Document templates — Drop-down list. Select the interview export document template.

  • Html template — Text field. Enter the HTML code for the interview export document.

  1. Save the template by clicking on Save at the top of the page.

    A confirmation message appears on the screen.

    The template is created.

  2. Open the Conception tab.

    The interview structure is displayed with “No steps” on the left. Step information is on the right.

  3. Click on Add a step .

  4. Fill in the step information:

  • Title —  Mandatory text field. Enter the step title in all available languages.

  • Printable — Checkbox. Activate to make a step visible on all actors' screens and on exported PDF files.

  • The step can be bypassed — Checkbox. Activate to bypass a step.

  • The step can be reopened — Activate to reopen a step.

  1. Click Save to save the step.

    A confirmation message appears on the screen.

    The step appears on the left of the screen. An orange banner appears to publish the model. It is not advisable to publish the template before you have completed all the steps.

    By clicking on to the right of the step, you can duplicate the step and the forms it contains, or delete it.

  2. Then click on Add new form .

    The form information sheet appears on the right.

  3. Fill in the information:

  • Title — Mandatory text field. Enter the form title in all available languages.

  • Actor — Drop-down list. Select the form actor.

  • Task name — Text field. Enter the name of the task to be performed by the actor in the languages of your choice.

  • End message of the form — Text field. Enter a message to be displayed at the end of the form.

  • Printable — Checkbox. Activate to make the form visible on all actors' screens and on exported PDF files.

  1. Click on Save to save the form.

    A confirmation message appears on the screen.

    The form appears on the left of the screen with the number of components it contains. In its information sheet, the component tab is now available.

    An orange banner appears to publish the model. It is not advisable to publish the model before all the steps have been completed.

    By clicking on to the right of the form, you can duplicate it with its components, preview it or delete it.

  2. Open the Components tab.

    The list of components appears.

  3. Click on Add a component .

    A new window appears, listing all available components (see: Components).

  4. Select the desired component.

  5. Fill in the component information.

  6. Click on Save.

    A confirmation message appears on the screen.

  7. Return to the model structure page using the Back button at the top left of the screen.

    The component appears in the Components tab of the form to which you added it.


Components

Components represent the content of forms. They are generally interactive elements. On the add page, they are classified by category.

Display components

Quote component:

This component integrates elements completed in previous steps into a form. Consequently, it cannot be used in the first step of the model. Information to be filled in to configure it:

  • Title - Mandatory text field. Enter the component title.

  • Code - Automatically filled text field.

  • Quotes — List of quotes.

    1. Click on Add .

    2. Enter the title of the quotation.

    3. Choose the component you wish to quote from the drop-down list.

    You can delete a quotation by clicking on .

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

Html text component:

This component integrates read-only text and images into the form. Information required to configure it:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

  • Text — Mandatory text field. Enter your text. You can format it by clicking on .

  • Printable — Checkbox. Activate to make the component visible on all actors' screens and on exported PDF files.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

  • Display - Drop-down list. Select the space you want the component to occupy.

Skills components

Add skills components :

This component allows the actor who fills in the form to view skills and bring them up during the interview. Information to configure it:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

  • Add skills — Checkbox. Enable to allow the actor to add existing skills when filling in the form.

  • Update skills — Checkbox. Enable to allow the actor to modify the skill level after adding the skill.

Job skills component:

This component displays the skills related to the employee's job. By default, the skill level can be modified. Information to configure it:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

  • Read only access — Checkbox. Activate to prevent modification of the skill level when filling in the form.

Obsolete skills component:

This component displays skills related to the employee's job that are no longer current. Information to configure it:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

Skills validation component:

This component displays the list of competencies related to the employee's job, their status and target level, and the possibility of commenting on each of them. Configuration information:

  • Name - Mandatory text field. Enter the component name.

  • Display - Drop-down list. Select the space you want the component to occupy.

  • Allow validation — Checkbox. Activate to authorize the actor to validate the skill from the form.

  • View the target level in the synthesis and export — Checkbox. Enable to render the expected skill level in the synthesis screens and in the exported document.

Complex input component

Training need component:

This component gives employees the option of reporting training needs by selecting the courses they would like to attend. Information to configure it:

  • Training need — Mandatory text field. Enter the component title.

  • Code - Automatically filled text field.

  • Issue an opinion — Drop-down list. Choose whether or not the actor can consult or leave an opinion.

  • Hide unlisted option — Checkbox. Activate to authorize the actor to choose a non-catalog training.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

Document component:

This component allows you to add documents to the form, which can be downloaded by players. Configuration information:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

  • File — Upload field. Upload the documents you wish to add to the form.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

Employees data component:

This component displays employee data. Information to configure it:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

  • Field — Drop-down list. Choose the collaborator element you wish to display.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

  • Display - Drop-down list. Select the space you want the component to occupy.

Performed trainings component:

This component displays all trainings performed by the employee. The results can be filtered. Information to configure it:

General information

  • Performed trainings — Mandatory text field. Enter component name.

  • Code - Automatically filled text field.

  • History (in years) — Numeric field. Enter the number of years to display trainings performed in the last X years.

Registration modality

  • Back office — Checkbox. Activate to display training courses for which the employee has been registered.

  • Self service — Checkbox. Activate to display self-service courses.

  • Front office — Checkbox. Activate to display courses for which the employee has booked themself.

Necessity

  • Required —  Checkbox. Activate to display mandatory courses.

  • Optional — Checkbox. Activate to display optional courses.

Progression

  • In progress — Checkbox. Activate to display courses in progress.

  • Finished — Checkbox. Activate to display completed courses.

Success

  • Successful — Checkbox. Activate to display successful courses.

  • Unsuccessful — Checkbox. Activate to display unsuccessful courses.

Learning mode

  • Class — Checkbox. Activate to display classroom training.

  • E-learning — Checkbox. Activate to display e-learning courses.

  • Blended — Checkbox. Activate to display blended training.

  • Virtual class — Checkbox. Activate to display virtual classroom training.

  • Mobile — Checkbox. Activate to display mobile training.

  • Video — Checkbox. Activate to display video training.

  • MOOC — Checkbox. Activate to display MOOC courses.

  • Regulatory — Checkbox. Activate to display regulatory courses.

  • AFEST — Checkbox. Activate to display AFEST-type courses.

Visibility

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

Goals component

This component lets you assign and view objectives. Configuration information:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

  • Objective type — Drop-down list. Select the type of objectives you wish to display.

  • Category— Checkbox. Activate to display the objective category choice.

  • Deadline — Checkbox. Activate to display the goal achievement period.

  • Weighting (%) — Checkbox. Activate to display the percentage weighting of objectives.

  • Priority — Checkbox. Activate to display the priority level of the objectives.

  • Description — Checkbox. Activate to display the description of the objectives.

  • Implemented means — Checkbox. Activate to display the means implemented for the objectives.

  • Obtained result — Checkbox. Activate to display the evaluation of the obtained result.

  • Action plan — Checkbox. Activate to display the action plan to achieve the objectives.

  • Comment — Checkbox. Activate to display the comment field.

  • Obtained result detail — Activate to display the Obtained result detail field.

  • Close objective — Checkbox. Enable to allow the actor to mark the objective as “Completed”.

  • Read only access — Checkbox. Activate to prohibit modification of the skill level when filling in the form. If this box is unchecked, the previous elements will be used to fill in the objective information.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

Career objectives component:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

  • Deadline

  • Description

  • Status

  • Comment

  • Validated

  • Finished

  • Read only access

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

Simple input component

Checkbox component:

This component displays text with a checkbox. Configuration information:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

  • Put text before checkbox — Checkbox. Enable you to place the box after the text in the form.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

  • Display - Drop-down list. Select the space you want the component to occupy.

Date component:

This component is a numerical field for selecting a date. Information to configure it:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

  • Mandatory - Checkbox. Activate to make this component mandatory for the actor.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

  • Display - Drop-down list. Select the space you want the component to occupy.

Number component:

This component is a numeric field for entering numeric data. Information to configure it:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

  • Mandatory - Checkbox. Activate to make this component mandatory for the actor.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

  • Display - Drop-down list. Select the space you want the component to occupy.

Radio button component:

This component displays a selection of proposals. Information to configure it:

  • Title - Mandatory text field. Enter the component title.

  • Code - Automatically filled text field.

  • Mandatory - Checkbox. Activate to make this component mandatory for the actor.

  • Vertical align — Checkbox. Activate to align proposals vertically.

  • Propositions — List of proposals. Add your proposals to the list.

    1. Click on Add a proposal .

    2. Enter the proposal.

    3. Repeat as many times as necessary.

    To delete a proposal, click on to the right of the proposal to be deleted.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

  • Display - Drop-down list. Select the space you want the component to occupy.

Short text component:

This component displays a short text field enabling the actor to enter a text of up to one line. Information to configure it:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

  • Mandatory - Checkbox. Activate to make this component mandatory for the actor.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

  • Display - Drop-down list. Select the space you want the component to occupy.

Long text component:

This component displays a long text field allowing the actor to enter text on several lines. Information to configure it:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

  • Mandatory - Checkbox. Activate to make this component mandatory for the actor.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

  • Display - Drop-down list. Select the space you want the component to occupy.

Visa component:

This component acts as a certificate of attendance. Information to configure it:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

  • Display validation choice — Checkbox. Activate to display the “I validate this report:” proposal and its options.

  • Read agreement text — Mandatory text field filled in by default. Modify text if necessary.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

  • Display - Drop-down list. Select the space you want the component to occupy.

Structure components

Introduction component:

This component displays a photo of the employee and his/her manager. Configuration information:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

  • Printable — Checkbox. Activate to make the component visible on all actors' screens and on exported PDF files.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

Section component:

This component is used to structure the form, with each section corresponding to a page. Configuration information:

  • Name - Mandatory text field. Enter the component name.

  • Code - Automatically filled text field.

Subtitle component:

This component is used to add a subtitle to a part of the form. Information to configure it:

  • Title - Mandatory text field. Enter the component title.

  • Code - Automatically filled text field.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

  • Display - Drop-down list. Select the space you want the component to occupy.

Title component:

This component lets you add a title to a part of the form. Information to configure it:

  • Title - Mandatory text field. Enter the component title.

  • Code - Automatically filled text field.

  • Hide in export - Check box. Activate to make this component invisible in the exported document.

  • Display - Drop-down list. Select the space you want the component to occupy.
