Dynamic groups

A group is considered dynamic because its members are defined through a formula based on grouping criteria that can be:
the user’s profile data;
the structural groups (such as establishmenst, structures, jobs, teams, projects, domains) they belong to;
the roles they have;
the training courses completed.
Examples of dynamic groups:
New hires in the Alpha structure.
Users who have successfully completed the company introduction training.
The members are updated every night by the platform and change over time based on the user’s membership criteria.
Note:
If the group is enrolled in a training course when a member joins:
If the training course’s end date has not passed, the new member is automatically enrolled in the course.
If the training course’s end date has passed, it will have no effect on the new member.
Create a Dynamic Group
Procedure
From the side menu, open the Directory.
Select from the sub-menu Dynamic Groups.
Click the New button.
Fill in the profile information, including the group name and description. The description is recommended to help clarify the group.
Create the query:
Click on Add a property .
Select the data you want to consider from the dropdown lists, the comparator, and the value you wish to compare it to.
To create a query with multiple criteria, click on Add an operator .
Select the value of the operator from the dropdown list.
The formula will appear with the updated elements in the Formula Preview section.
Warning
For the formula to work with multiple criteria, they must be enclosed in parentheses. Therefore, you must start your formula with an operator.
You can delete a comparator or an operator by selecting or and clicking on Delete .
To move an operator or a criterion, drag the element with or .
Once the information is completed and the query is created, you can:
Click on Save. The query will then be processed during the next nightly update.
Click on Save and consolidate. The group will be created instantly.
Additional Information
Consolidation is time-consuming if the number of users is large.
Always check the number of members when creating a new dynamic group to avoid creating groups with tens of thousands of people.
Never save and consolidate without criteria: this would add all platform users to your dynamic group.
It is possible to create a dynamic group from other dynamic groups.
View the details of a dynamic group
Procedure
From the side menu, open the Directory.
Select in the submenu Dynamic Groups.
Select the desired search criteria on the search page, then click the Search button.
Select the desired dynamic group from the list, then click the View Group tab or the group.
Verification
The details of the dynamic group will appear on the screen.
View the members of a dynamic group
Procedure
From the side menu, open the Directory.
Select in the submenu Dynamic Groups.
Select the desired search criteria on the search page, then click the Search button.
Select the desired dynamic group from the list, then click the View Group button.
The Dynamic Group tab will appear on the screen.
Click the Members tab to view the list of members in the group.
Verification
The member list is displayed on the screen.
Duplicate a dynamic group
Procedure
From the side menu, open the Directory.
Select in the submenu Dynamic groups.
Select the desired search criteria on the search page, then click the Search button.
Select the desired dynamic group from the list, then click the Duplicate button.
Verification
The dynamic group is duplicated, and you can retrieve the original criteria and adapt them if necessary.
Delete a dynamic group
Procedure
From the side menu, open the Directory.
Select in the submenu Dynamic groups.
Select the desired search criteria on the search page, then click the Search button.
Select the desired dynamic group from the list, then click the Delete button.
Verification
A confirmation message appears on the screen.
