Understand my Webmail (standard)
Webmail is an internal tool for exchanging messages.
Webmail can be accessed (depending on the configurations):
Via the My webmail webpart available on the home page, indicating the reception of new automatic messages (e.g. relaunch of an e-learning course) or manual messages (sent by the tutor):
From an envelope icon at the top right of the platform.
Possibility of systematic copying to the professional box indicated in the user file.
Understand the My Schedule menu (standard)
The schedule allows the user to quickly see all the events scheduled for them (training sessions, meetings and face-to-face sessions).
The schedule can be accessed (depending on the configuration):
Via the My Schedule webpart , which shows the new meetings that are scheduled.
From the My Folder menu, My Schedule submenu, where training sessions, scheduled meetings, and face-to-face sessions are displayed.
Understand the conversation function in the platform
The purpose of a conversation is to be able to chat directly with other people on the platform.
As a result, it is a communication tool to engage employees in their training and maintain their interest over time in order to promote collaborative learning.
The possibilities depend on the configuration of your platform.
A user can access their conversations from a bubble-shaped link in the platform's banner at the top right.
When a user has posted a message in a conversation, the information is displayed in the banner with the number of unread messages. In the example below, a message was not viewed by the current user – this is the 1st icon we are interested in.

Quick access to the user's retention page from the banner
Block of the content of the selected conversation, with a title:
Custom – private context 1 to N.
Surname – first name of the 2 persons concerned – private context 1 to 1.
Session Name = Conversation from a Session – Training Session Context.
Other possible actions from a kebab menu to the right of the title:
Manage the conversation: title and participants.
Archiving the conversation: (see next chapter).
Access the session: for a learner or trainer.
Grouping of Open and Archived Messages
Button to create a conference (= private conversation between 1 and N participants), entitled: New conversation.
Search for a conversation from the list, search in the title only
List of all the conversations in which the user participates with the following information:
The title of the conversation.
Last name – first name of the last person who posted a message.
The beginning of the last message or a generic " Shared an image " text.
Blue dot: An indication of an unread message.
Conversation content with for each message:
Photo of the person.
Date or time of the message posted.
Content of the message posted.
Simple text input block with several possible options:
Share an image: gif, jpg, jpeg, png format
Share a video: web format (example: mp4)
Share a file of any type (.zip, .docx, etc.)
Grab or retrieve an emoji
Insert links to websites or direct links on the platform to elements (training, assessment, resource):

Send button: Posts the user's message
After selection, the link is clear and meaningful with the item's label and image, the learning modality (if known), and a text about the item type.
In the conversation, the user has the option to view all the multimedia elements of the conversation in slideshow, by simply clicking on one of the elements – display the elements in full screen. Sharing an image or video is possible via a smartphone.
Manage conversations
The conversation author can fully manage their conversation (archive/delete conversation, add participants, add moderators, delete a message). The only thing they can't do is edit a message.

The part about participants is only visible for a 1 to N conversation.

Archive/delete a conversation
It is important to give a person the right to archive or delete a conversation for the purpose of cleaning up or deleting information.
Users who have archive or delete rights are:
Trainers: for a conversation around a session
The creator: for a conference (without any particular context)
Access to manage a conversation
From the kebab menu, a link allows you to archive the conversation. It is then found in the list of archived conversations (notion of a recycle bin) – possibility to restore it, but also to delete it permanently.
Deleting triggers a permanent deletion of the conversation.
Moderate a message
A moderator, when hovering over a message can delete a conversation from a kebab menu:
Delete: permanently delete the message – replace it with a Deleted Message label in the conversation (the full content with image, links, video, etc. is deleted).
Note: Only an author can edit a message.
Rights given to messages according to context
Anyone who has posted a message: the right to edit/delete their own messages.
Conversation author's rights:
Right to delete messages (no modification of a message possible).
The right to add participants to the conversation.
Right to add moderators from participants through a Moderation button.
Rights of a moderator of a conversation:
Right to delete messages (no modification of a message possible).
Right to add/remove participants to the conversation : When adding or removing a participant, an informative text is displayed in the conversation discussion Peter Dupois has joined the conversation or Peter Dupois has left the conversation.
Starting a conversation on the platform
Depending on the platform's settings, a user can start a conversation from:
Webparts trainers or connected learners,
a user record from the directory,
an application for registration,
the tooltip on all pages,
from the Follow-up menu to converse with all participants in a session and their instructor.
New message alerts
You can enable the notification of a new message in a conversation to be alerted of a new message if the user is not logged in.
