Article summary

Training evaluation supports the continuous improvement of the training system. This feature enables the creation and distribution of questionnaires to assess training at different stages: before, during, and after a session (hot and cold evaluation).

Questionnaires can be targeted at various stakeholders, including learners, managers, and tutors (see evaluation process images).

Multiple evaluation processes can be designed to define steps such as questionnaire association, conditions, and deadlines for distribution, tailored to each learning modality (in-person, online, or blended).

Evaluation processes can be customized via Settings > Processes > Evaluation Processes.

We recommend defining a different evaluation process for each area and learning modality of the training.


Create a training evaluation quiz

Open Studio > Resource Library > New Quiz > Resource.

To create a training evaluation, you must first create a quiz by defining the types of questions to include.


Create a domain-level evaluation process

Open Settings > Process > Evaluation processes

Procedure

  1. Click New.

  2. Fill in the process information:

    • The name of the process;

    • The learning mode: you can create a process specific to each learning mode (face-to-face, distance or blended); 

    • A code.

    • The None field is for courses that do not have a learning mode specified.

  3. Click Save.

Verification

A confirmation message appears on the screen.

Additional Information

  • One Process per Domain and Learning Mode: Each domain and learning mode combination can have only one process, unless distinguished by language.

  • Processes Without a Specified Language: A process with no language specified applies to courses without a defined language and to courses in a specific language (e.g., Language Y) if no language-specific process exists for that learning mode.

  • Priority for Language-Specific Processes: If a process (P) exists for Language Y and Learning Mode Z (e.g., e-learning), a course with Learning Mode Z but no specified language will not be associated with Process P.


Add a step in an evaluation process

Open the Settings > Processes > Evaluation processes

Procedure

  1. Select the previously created process.

  2. Click the Add button to add a step in the process.

    • A pop-up appears.

    • Fill in the information related to the step :

      • The name of the step.

      • The Actor: The recipient of the quiz:

        • Learner refers to people registered for a session of the training.

        • Manager refers to the people who are responsible for the learners registered on the session.

        • Trainers refers to the trainers in the session.

    • The quiz: quiz of the step to be selected from the resource library. The quiz must exist and in production before being integrated into the step.

    • Active From: By default, this field is populated by the date the step was created.

    • Duration (in days): The duration of the quiz's availability.

    • The conditions for sending the evaluation :

      • Send from : number of days the review will be sent (additional information in the positioning field).

      • Positioning : concerns the positioning of the step in the process, several possibilities :

    • Before registration begins.

    • After the registration begins.

    • Before the end of registration.

    • After the end of registration.

    • After each session : 3 types of sessions possible : face-to-face – virtual classroom – e-learning (the choice of a type of session is mandatory in this case). In this case, quizzes are only sent for scheduled items in a session.

    • After a particular session (of the associated training): the list of sessions is displayed (face-to-face, virtual classroom and e-learning) and only one must be selected. If you choose a positioning after the sessions, it is imperative that these sessions are scheduled ( Training menu > Sessions submenu > Schedule tab).

Additional Information

If you choose conditions to send the evaluation based after the registration date, two new fields appear, it is not mandatory to fill them in :

  • Do not evaluate if progress is < to : Allows you to set a minimum threshold (between 1 and 100%) of percentage progress below which the training evaluation will not be sent. This threshold will serve as a filter : if it is not reached, it is because the learner has not been diligent enough in his training. Therefore, it should not be evaluated.

  • Send the evaluation as soon as the progress is at : Allows you to set a threshold for triggering the sending based on the percentage of progress of the training (between 1 and 100%). So, when this threshold is reached, the next day (after batch processing), it will receive the evaluation even if the number of days after/before registration is not reached. If the actor is the manager, he will also receive the evaluation of his collaborator as soon as the latter has reached this percentage.

These two options only appear if the recipients of the quiz are learners or managers (the trainer is not affected by these options).

Note that the evaluation for the manager will be sent as many times as there are sessions and learners.

Recipients will only be able to view and complete the quiz if the submission conditions are later than the date appearing in the Active from field (which is equivalent to the date the step was created).

Example : If the step is set to send quizzes two days after registration starts and is active from March 8, then learners who registered before March 6 will not receive the quiz.


Consult the evaluation of a training course

Open the menu Administration > Training > Training Course

Procedure

  1. Select the desired search criteria on the search page, then click the Search button.

  2. Select the desired course from the list, then click the View course button.

    • The Training tab appears on the screen with the training information.

  3. Click on the Evaluations tab.


Modify a step in the evaluation of a training course at the training level

Open the menu Administration > Training > Training

Procedure

  1. Select the desired search criteria on the search page, then click the Search button.

  2. Select the desired course from the list, then click the View course button.

    • The Training tab appears on the screen with the training information.

  3. Click on the Evaluations tab.

  4. Click on the Customize Template button.

  5. Click Ok to confirm the change to the process.

  6. Click on the pencil icon to edit an existing step. A pop-up appears.

  7. You can edit all the information related to the evaluation, such as the recipient and the terms of delivery.

  8. Click Save.

Additional Information

Any change to the step made at this level only impacts the training in question.

Once users have received their quiz, the associated quiz cannot be edited.


Delete one or more steps from the training evaluation process

Open the menu Administration > Training > Training

Procedure

  1. Select the desired search criteria on the search page, then click the Search button.

  2. Select the desired course from the list, then click the View button.

    • The Training tab appears on the screen with the training information.

  3. Click on the Evaluations tab.

  4. Click on the Customize Template button.

  5. Click Ok to confirm the deletion of the process.

  6. Click on the trash can icon to delete an already existing step. A pop-up appears.

  7. Click Save.

Additional Information

Any deletion of a step made at this level only impacts the evaluation process of the training in question.


Add a step to the training evaluation process

Open the menu Administration > Training > Training

Procedure

  1. Select the desired search criteria on the search page, then click the Search button.

  2. Select the desired course from the list, then click the View course button.

    • The Training tab appears on the screen with the training information.

  3. Click on the Ratings tab or the Kebab menu.

  4. Click on the Customize Template button.

  5. Click the Add button.

  6. Refer to the dedicated chapter for information on creating steps in a training evaluation process.

Additional Information

Any new processes created or modified at the training level will not be visible in the evaluation Processes Library (Settings > evaluation Processes).


Complete your training evaluations

  • A notification can be sent to users to let them know that they have an evaluation to complete with a link to go directly to it.

  • The recipient of the evaluation can view the evaluations of the training to be completed in the My Personalized Registrations Webpart. (The training evaluation box must have been selected when setting up the Webpart).

  • An evaluation of the course is not accessible from the My Account > My Registrations menu.

  • One or more reminder notifications can be sent to people who have not completed their évaluation.de the training.

  • When the recipient has completed their questionnaire or the duration set at the process level has been exceeded, the quiz disappears from the list.
