Article summary

This feature allows you to block and reserve a number of seats for a given session associated with a group identification. Reservations are made from the back office in advance and it is possible to transform these places into registrations at a later stage for more flexibility and better respond to the arbitration constraints you may have.


Reserve seats for a session

Open Administration > Training > Training sessions

Procedure

  1. Open a session record.

  2. Click on the Bookings tab. 

  3. Click on the Book button to create a new group of reserved seats.

    • In the event that there is no reservation, a message indicates that there is no request.

    • In the event that there is at least one group of seats, cards of the groups already created are displayed with the following information:

      • Group Name

      • Group Label: the label of the group that has been selected (Domain, Team, etc.)

      • Created on: date the group was created

      • Created by: person who created the group

      • Group Type: selected group

      • Number of registrants: number of registrants from the group 

      • Total number of places available in this group

  4. Click on the kebab menu to perform the following actions:

    • Register or unregister users who are waiting to be booked on a session or training. See below

    • Edit the group. See below.

    • Delete the group. See below.


Register/unregister users on the waiting list

Open Administration > Training course > Training sessions

Procedure

  1. Open a session record.

  2. Click on the Bookings tab. 

  3. From the kebab menu to the right of a user, select the Register/Unregister button. A registration modal appears and all users , whether they are pending or not, by categorising them:

    • Waiting on Session : Displays users who are pending on the target session and who are part of the set up group .

    • Waiting on Training : Displays the users who are pending on the training globally and who are part of the set up group .

    • Waiting on another session : Displays users who are on hold on a different session than the one you are on and who are part of the set up group.

    • All other users : Users who are not on hold and who are part of the set up group are displayed.

    • Display of a filter to find the desired user(s).

As soon as a number of potential registrants is selected that exceeds the number of reserved places available, a block is put in place.

  1. Once a registration has been validated, the registrant is displayed at the top of the modal with the following information:

  • The date the user signed up.

  • The person who made the registration.

In the event that employees from this group are already registered, they are displayed at the top of the modal:

  1. It is still possible to unsubscribe them via the "-" icon:

    • When clicked, a new insert appears entitled Bookings in the process of being deleted and containing the registrant(s) in the process of unsubscribing:

  2. Click on it again to re-enter the registrant pool.

  3. In the event that the unregistering is validated, it returns to the user pool based on Waiting or Not.


Modify a booking

Open Administration > Training > Training sessions

Procedure

  1. Open a session sheet.

  2. Click on the Booking tab. 

  3. Click on the Modify the booking button, the modal presented in the slide above appears with the grouping information pre-filled.

    • Number of reserved seats: corresponds to the number of reserved places in the group + the number of places available since registration. The number of reserved places can be edited but must comply with the following constraint: number of registrants from the group ≤ number of reserved places remaining ≤ available places .

    • The Group Name which is editable.

    • The selectable group can be edited as long as there is no registrant from this groupe. If there are registrations from this group, it is no longer editable.


Delete a reservation

Open Administration > Training course > Training sessions

Procedure

  1. Open a session record.

  2. Click on the Bookings tab.

  3. Clicking on the Delete button from the kebab menu, a validation modal appears to ensure that the created group is deleted: if validation is done, the group disappears.

    • If there is at least one registrant from this grouping, the deletion is disabled and the delete button is hidden.

    • It is still possible to unsubscribe the person (s) from this group via the registration modal and to delete all the unsubscribed persons once they have been unsubscribed.
