Understand resource categories

Open the Studio menu.

Resources are teaching tools. There are different types in the platform:

  • Note: Creation of content using an html editor: Possible insertion of text, images, hypertext links, etc.

  • PDF: Insert a PDF document with preview in the browser. Option to enable or disable PDF downloading and printing.

  • Content: Insert a file with many available formats: .gif, .jpg, .jpeg, .png, .doc, .docm, .docx, .dot, .dotm, .dotx, .csv, .pdf, .ps, .eps, .pps, .ppt, .pptx, .ppsx, .pot, .html, .htm, .odp, .ods, .odt, .txt, .rtf, .xml, .xls, .xlsx, .xlsm, .xlt, .xltx, .xltm, .flv, .swf, .xap, .mp4, .mpeg, .mpg, .wmv, .avi, .qt, .rm, .mp3, .wav, .ogg, .wma, .eml, .msg, .zip.

  • External resources: Inserting a web link in the form of a hyperlink.

  • Video: Insert a video in mp4 format or a video available on a streaming site: YouTube, DailyMotion, Vimeu, Libcast, api.video, api.video in private mode, Meta.video.

  • Quiz: Creating a quiz consisting of a set of questions. Questions can be organised into sections.

  • Case study: Assignment corrected by a trainer whose answer is sent in the form of file(s).

  • Examination: A resource for a trainer or manager to assign a grade to a learner.

  • SCORM Resource and AICC Resource: Resources created with external authoring tools that can communicate information about progress, success, score, or time spent, for example.

  • Multimedia library: A set of resources (image files, video files, audio files, miscellaneous files) made available to the learner. They can select the documents they are interested in and this generates a zip file with their selection.

  • Capsule: Resources created with an editor internal to the platform and capable of communicating information about progress status, success, score or time spent, for example.

  • Role-playing: an element materialising a work situation in the context of a training course whose learning mode is AFEST. This item is available on the Design tab of a course or module. The trainer will then be able to enter the learner's time spent as well as a comment in order to trace the learner's activity.

Additional Information

  • SCORM or AICC resources are not created but imported into the platform apart from the capsules transformed into SCORM.

  • All assets are stored in the asset library.

  • Within a module, resources can be structured through steps.

  • The step is used to group resources. This step-by-step structuring will help with planning, sequencing and will have an impact on learner follow-up.

  • By default the resource unit is in hours, this parameter is configurable. Capsules are not affected by this setting.


Understand the concept of a resource catalogue

Open Studio > Resource Catalogue

The purpose of the resource catalogue is to be able to share resources in the front office with a targeted audience such as trainers for example.

To search for a resource in the catalogue, a menu on the left is available with the following criteria:

  • Materials

  • Types of Resources

  • Creators

  • Domain

  • Search filters (according to different types of sorting and the number of searches to be displayed)

Additional Information

The list of these search criteria can be configured.

It is possible to position a shortcut to a specific subject on an image matrix web part in order to access educational content by subject from a home page easily.

Operation

Using a layout that has the Image Matrix Web Part.

  • Retrieve the id of the desired material.

  • Add the following link to the image: /Studio/Resources/ResourceShops/ResourceCatalog.aspx?SubjectId=material id


Search for a resource catalogue asset

Open Studio > Resource Catalogue

Procedure

  1. Select the desired search criteria on the search page, then click the Search button.

  2. Click on the desired resource in the list.

  3. Click the View button.

Search for a resource library asset

Open Studio > Resource library

Procedure

  1. Select the desired search criteria on the search page, then click the Search button.

  2. Click on the desired resource in the list.

  3. Click the View button.

Verification

The Resource tab appears on the screen with information about the resource.


Create a resource

Open Studio > Resource Library

Procedure

  1. Select from the submenu The Resource Library.

  2. Click the New resource button.

  3. Then choose the type of resource you want to create. The form that is being created for the type of the selected resource appears.

  4. Complete the details for this resource.

  5. Click Save.

Verification

A confirmation message appears on the screen.

Additional Information

For some resources (a note, for example), you need to enter text: click on the icon (called open HTML editor) next to the input box to open the text editor. You can enter your text, add videos, attachments... Remember to save before exiting the editor.


Import a Scorm, AICC, QTI, xAPI or Capsule resource

Open Studio > Resource Library

Procedure

  1. Open the Import tab.

  2. Select the type of file to import (AICC, Scorm, QTI, xAPI or Capsule).

  3. Click on the Select button and select the resource you want to import.

    • For Scorm resources, select the ZIP file of the SCORM resource. You can set the import to import just the manifest file or the manifest plus content (default).

    • For an AICC resource to be imported: select the 4 files of the AICC resource (CRS, DES, AU and CST file).

    • For QTI (quizzes), select the zip file.

    • For xAPI, select either the ZIP file or the tincan.xml or cmi5.xml manifest.

  4. Click the Import button.

Verification

A confirmation message appears, specifying that the asset has been successfully imported.

The card for this resource and its information are displayed on the screen.

Additional Information

It is not specified whether the content is SCORM 1.2 or SCORM 2004: the platform determines it on its own when importing the ZIP file.


Update a .zip file or a SCORM resource

Open Studio > Resource Library

Procedure

  1. Select the desired search criteria on the search page, then click the Search button.

  2. Select the desired resource from the list, then click the View the resource button.

  3. The Resource tab appears on the screen with information about the resource.

  4. At the bottom of the resource card page, in the Resource Path field, an Update Files button appears.

  5. Click on this update button. A new window appears.

  6. Click on the Select button and go search for the new ZIP file of the SCORM resource.

  7. It is possible to specify whether this content update affects:

    • Future versions of the modules that will be put into production: in this case, do not check Update all versions in production,

    • All versions of modules that are put into production: in this case you need to check Update all versions in production.

  8. Click on the Validate button: the pop-up closes.

  9. Click on the Validate button on the resource card.

Verification

A confirmation message appears, specifying that the resource has been successfully updated.

The card for this resource and its information are displayed on the screen.

Additional Information

The ZIP file is physically replaced by this new ZIP file on the server. No consistency testing is carried out by the platform. It is therefore crucial to check beforehand if the new ZIP file is indeed an update of the zip file present in the platform.

This update should only be used when there are minor changes to the SCORM content, so as not to be too disruptive to the tracking information of learners who may have already accessed this resource.


View a resource record

Open Studio > Resource Library

Procedure

  1. Select the desired search criteria on the search page, then click the Search button.

  2. Select the desired resource from the list, then click the View the resource button.

    • The Resource tab appears on the screen with information about the resource.

  3. Click on the Related Items tab to see which course or module this resource has already been assigned to.

Verification

The card for this resource and its information are displayed on the screen.


Publish a resource

Open Studio > Resource Library

Procedure

  1. Select the desired search criteria on the search page, then click the Search button.

  2. Select the desired resource from the list, then click the View the resource button.

    • The Resource tab appears on the screen with information about the resource.

  3. At the bottom of the card appears the publication table that allows you to manage the publication rights of the resource:

Access to the Back Office Resource Catalog

This table may not be displayed if it was decided during the configuration of the platform. Similarly, the buttons below only appear if it was decided when setting up the platform.

  1. Click on the Domain Privilege button and search for the domain to which you want to give privileges.

  2. Click on the Group Privilege button and search for the group to which you wish to give privileges.

  3. Click on the User Privilege button and search for an individual to whom you wish to give privileges.

  4. Click Delete to delete the selected row and remove the privileges.

  5. For each of the added rows (domain, group, or user), choose the privileges you want to assign:

    • Viewing privileges: check View: Users belonging to this domain, or group, will only be able to consult this resource and integrate it into a training module. But they will never be able to change it.

    • Editing privileges: Check Edit: Users belonging to this domain, or group, will be able to edit this resource and integrate it into a training module. The author therefore loses his rights and is no longer the only one to manage the resource. Giving the privilege to modify a resource should be avoided, because otherwise all people belonging to that domain, or to this group, will be able to modify the resource without the author being notified. And the newly modified resource will appear in any modules or courses it is in, with no way back.

  6. Duplicate privileges: check Duplicate: Users belonging to this domain, or group, will be able to duplicate this resource. The copy will become their property.

  7. Publish Management Privilege: Allows you to delegate publishing rights to users, groups, and domains without giving them the right to modify the content of the resource.

  8. Click Save.

    • At the bottom of the card appears the publication table that allows you to manage the publication rights of the resource.

Access to the Front Office Resource Catalog

  1. Click on the Group Privilege button and search for the group to which you wish to give privileges.

  2. Click on the User Privilege button and search for an individual to whom you wish to give privileges.

  3. Click Delete to delete the selected row and remove the privileges.

  4. For each of the added rows (group or user), choose the privileges you want to assign:

    • Privileges when viewing the resource description sheet: check View: users belonging to this group or to the user will only be able to view the description of the resource in the resource catalogue.

    • Resource access privileges, check Self-service: Users belonging to this group or the user will be able to view the access resource in the resource catalogue.

Additional Information

There is also a Web part: a catalogue of resources to be activated on a home page, for example. This web part allows faster access to the resources published in this catalogue.


Preview a resource

Open Studio > Resource Library

Procedure

  1. Select the desired search criteria on the search page, then click the Search button.

  2. Select the desired resource from the list, then click on the Preview button: a new window will open and display the resource as it will be visible to the learner.

Additional Information

While on the resource page, you can preview it by clicking on the Preview button.


Edit a resource's record

Open Studio > Resource Library

Procedure

  1. Select the desired search criteria on the search page, then click the Search button.

  2. Select the desired resource from the list, then click the View the resource button.

  3. Edit the information, then click the Save button.

Verification

A confirmation message appears on the screen.

Additional Information

The modification of a resource is permanent in the platform: in fact, the update overwrites the previous version of the resource without it being possible to go back.


Delete a resource

Open Studio > Resource Library

Procedure

  1. Select the desired search criteria on the search page, then click the Search button.

  2. Select the desired resource from the list, then click the Delete button.

Verification

A confirmation message appears on the screen.

Additional Information

A resource can only be deleted if the resource is not assigned to a module or training. Otherwise, a message will appear on the screen prohibiting the deletion of this resource.


Duplicate a resource

Open Studio > Resource Library

Procedure

  1. Select the desired search criteria on the search page, then click the Search button.

  2. Select the desired resource from the list, then click the Duplicate button.

Verification

The resource is duplicated with the following properties:

  • The title of the new resource is: Copy 1 resource name, with the number representing the number of copies.

  • All the characteristics of the resource are preserved: reference, materials, etc.

  • Files, if they exist, are duplicated

  • On the other hand, the links to the modules are removed: you leave with a resource that is not linked to anything.

Additional Information

If a user duplicates a resource, they become the owner of the copy. They can then edit it without impacting the original.


Understand a resource success propagation

Some resources can be redundant in a training course: this creates dissatisfaction and disengagement of learners who feel like they are doing the same thing over and over again.

With this propagation of success configuration when enabled, it is possible to exempt a learner from having to replay a resource from training B that he or she has already passed previously in the near past (e.g. in the last 12 months) in training A.

This propagation works if and only if the learner is successful on the resource – no matter the progression.

The employee's plan is updated when the learner, trainer or administrator accesses the registration: the employee has an informative message and information about the resources propagated in order to better understand the reason for the success of this resource that he will not have to go through.

Only one e-learning resource is affected by the propagation of tracking – list of types currently:

  • SCORM /AICC /xAPI resource,

  • Video Resource,

  • PDF Resource or Document,

  • External resource.
