Understand learner costs
For sessions with face-to-face sessions, it is possible to take into account the salary cost of a learner registered for a session.
Here are the calculation rules:
Learner salary cost = Total number of hours of attendance * learner's hourly wage.
Total number of hours of attendance = the time logged in (in hours) for each session.
Learner Salary = the hourly wage recorded for the learner at the beginning of the session. If this data is not provided, the user's hourly wage is taken into account
To make this calculation, it is mandatory to enter the hourly wage of each user of the platform and also the hours of attendance at the sessions or the duration of the session.
Virtual Classroom sessions are not taken into account for this calculation.
The wage cost is subject to the condition that there must be a Cost Type of type Learner Wage. In the platform, there can only be one and only one such nature.
This consolidation is launched in several places in the platform :
It is done directly in the case of an addition, deletion or modification of the presence of learners at a session,
This is done when accessing the Balance sheet page in the event of a change in the session (new registrations, etc.),
This is done during batch processing, entitled: Cost Distribution.
To use this data, the Costs in Analytics model provides the ability to see payroll costs. The fields concerned are : Price excluding tax of registration and the type of cost type that must be Learner salary.
As for the breakdown/invoicing, it is the same principle, there are 2 calculation visions for the consolidation of salary costs:
Per Session : Create a cost line per learner per session – the one used by default and explained earlier.
Per Class : Create a cost line per learner and per session (depending on your configuration choices). The cost is then calculated according to the number of hours of attendance on the session * the learner's hourly wage.
Understand trainer costs
It is possible to calculate the salary cost of a trainer. This possibility is used in particular to take into account the cost of an in-house trainer.
Here are the calculation rules:
Total Trainer Salary Cost = Total Number of Attendance Hours * Trainer Hourly Wage.
Trainer salary cost per learner = (Total number of hours of attendance * hourly wage of the trainer)/Number of participants in the session.
Virtual Classroom sessions are not taken into account for this calculation.
The wage cost is subject to the condition that there must be a cost type Type of Trainer Salary. In the platform, there can only be one and only one such nature.
To use this data, the Costs cube in analyses offers the possibility to see the payroll costs. The fields concerned are : Price excluding tax of registration and the type of cost type that must be Trainer salary.
As for the breakdown/invoicing, it is the same principle, there are 2 calculation visions for the consolidation of salary costs.
